Principal Duties and Responsibilities:
- Manage and efficiently run the office in Goodlettsville, Tennessee.
- Manage shipments of samples via FedEx and UPS to customers, sales reps, and our overseas offices in Europe and Asia.
- Coordinate and manage calendars for Product Line Reviews (PLRs). This involves scheduling meetings and ensuring all stakeholders in the USA, Europe and Asia are aligned on the timelines.
- Assist and coordinate the timely preparation of product offer proposal information package. This includes gathering and organizing data on pricing, specifications, sample deliveries and marketing materials.
- Help manage order entry, customer service, warehousing and logistics.
- Help manage Accounts Receivable (AR) and Accounts Payable (AP), including issuing purchase orders and invoices. Ensure timely and accurate financial record keeping.
- Whenever required, initiate and see through the process of sample requisition and submission, which may include packaging artwork, shipping boxes, marketing samples and product specifications. This requires coordinating with the Business Development team in IQ Malaysia and/or vendors to ensure samples are requested and delivered to customers in a timely manner for PLRs and other sales meetings.
- Take on projects or assignments as and when necessary.
Requirements:
- Relevant experience as an Office or Operations Manager in a sales office, or in a similar sales support role.
- Relevant experience servicing customers of big-box retailers.
- Hands on experience of basic accounting principles, including AR, AP and invoicing.
- Excellent time management and organizational skills. Demonstrated track record of handling multiple projects concurrently and meeting tight deadlines.
- Proven Ability to operate in a "roll up your sleeves" capacity. Possess the initiative to jump into smaller tasks when needed.
Generic & Functional Skills / Competencies:
- Good written and verbal communication skills.
- Experienced with ERP and EDI order systems.
- Familiarity with accounting software, and project management tools.
- Proficiency with Microsoft Office (Excel, Word, PowerPoint)
- Professional and proactive approach to problem prevention and problem-solving.
