Regional Oncology/Hematology Clinic & Infusion Center Operations Manager RN
Summary
The Operations Manager RN oversees daily operations across multiple physician oncology clinics and hospital-based infusion centers. This leadership role ensures the delivery of high-quality, safe, and efficient oncology and hematology care. The manager leads administrative and clinical teams, supports strategic goals, and fosters a culture of excellence aligned with the client's mission.
Responsibilities
Clinic and Infusion Center Operations
- Manage staffing, scheduling, and patient flow to ensure safety and quality care
- Maintain and enforce clinic and hospital policies, procedures, and safety standards
- Conduct regular rounding with staff and physicians to communicate goals and gather feedback
- Monitor patient experience metrics and implement improvement plans
- Assess staffing needs and recommend adjustments to senior leadership
- Hire, onboard, and train clinic and infusion center staff
Staff Development and Supervision
- Define and evaluate core competencies for administrative and clinical staff
- Conduct annual performance evaluations; recognize excellence and address performance issues
- Evaluate nurse practitioners in collaboration with supervising physicians
- Host monthly meetings with administrative and clinical teams
- Ensure optimal staffing mix and team assignments based on appointment schedules and staff competencies
- Identify learning needs and implement development plans to retain high-performing staff
Interdisciplinary Collaboration
- Coordinate with other departments and physician offices to streamline patient care
- Ensure staff proficiency in EMR, accounting, and information systems; arrange training as needed
- Support business office functions including pre-authorizations, co-pay collection, and billing
- Resolve billing delays and collaborate with financial services on claim issues
Financial and Regulatory Oversight
- Oversee collection of patient demographic and payer data for accurate documentation and billing
- Develop and manage capital and operational budgets; monitor billing and collections
- Approve payroll and monitor time off, call-ins, and overtime
- Establish and track quality and performance indicators
- Ensure compliance with regulatory agencies including The Joint Commission, CLIA, OSHA, and HIPAA
- Maintain operational records and statistical data for reporting
Facilities and Vendor Management
- Direct materials management and supply ordering using preferred vendors
- Collaborate with contractors, vendors, and maintenance teams
- Participate in interdisciplinary committees and meetings
Professionalism and Growth
- Stay current on oncology care trends and patient needs
- Model exceptional customer service and handle inquiries and complaints professionally
- Promote professional development through education, workshops, and organizational involvement
- Travel locally as required
- Perform other duties as assigned
Education
- Bachelors degree or equivalent in healthcare management, business, or related field highly preferred
Experience
- Three (3) years experience in related health field, preferably in an oncology practice setting. Two (2) years of leadership/managerial experience in a multi-physician practice(s). Familiarity with state and federal regulations for health information and privacy issues required
Licensure and Certification
- Current Tennessee RN license required
- Certified Oncology Nurse strongly preferred
- Valid Tennessee Class D drivers license and minimum insurance coverage required
